The Florida Coast to Coast Difference:

Transportation Staffing:

Florida Coast to Coast employs meet/greet staff on the basis of experience, knowledge of transportation logistics and individual professionalism. Teamwork among those assigned to any project is critical to the success of that endeavor. As such, individual assignments are the result of close scrutiny of the transportation requirements and thorough consideration of specific staff expertise within any role to be assigned.

The standard staff assignments for primary attendee arrival days are as follows:

Airport Supervisor:

A member of the Florida Coast to Coast management team is on-site from the outset of the arrivals period to deliver the staff briefing (overview of the program, profile of the arriving guests, specific courtesies and/or messages to be conveyed as requested by the client meeting team and general understanding of the program agenda), to ensure that attendee waiting time is kept to a minimum, to oversee all transfer activities to be sure sufficient transportation is immediately available to accommodate flight changes and delays and to communicate and to monitor the overall efficiency of the proceedings.

Airport Meet/Greet Staff:

The Florida Coast to Coast meet/greet staff are placed in the following roles at each of the four arrival locations, the vehicle departure areas and at the airport vehicle staging area at Orlando International Airport and at the arrivals location at the participating hotels:

Meet/Greet “Floor” Staff at Arrivals Level – Through the use of the approved hand-held signs, this team has initial exposure to arriving guests. Based on airport regulations, they will be positioned at the bottom of the escalators that bring guests from the arrivals level (Level 3) to the baggage level (Level 2). They will greet and welcome guests individually (checking names on the operational manifest), escort them to the appropriate luggage carousel, arrange for luggage assistance by the airport porters and escort guests to the departures level and the vehicle assigned to their transfer.

Dispatch Staff at Departures Level – Through communication with the meet/greet staff, the dispatchers (one or two at each of the four arrival locations) will anticipate the transportation required for each specific transfer and call for the designated vehicle in a timely fashion so that it is in position when the guests reach the departures level (Level 1). Upon boarding of guests and loading of luggage (luggage must accompany guests on the transfer), the Dispatcher will advise the Florida Coast to Coast Receptive Staff at the hotel.

Airport Staging Staff – Positioned in the designated staging location at Orlando International Airport, these staff members will be responsible for the timely arrival of the vehicles scheduled for all transfers, for providing driver instruction relating to all transfer procedures and for sending them to the specific departure locations as soon as the request is received from the Dispatchers. The Staging Staff provides the assurance that all vehicles scheduled for the days transfer activities are, in fact, on site at the time required.

Hotel Receptive Staff (Optional) – Working in tandem with the designated guest greeters from the client meeting team, the Receptive Staff (normally one per each hotel location) will receive word from the Dispatch Staff when each vehicle has departed the airport, identify the expected guests on those transfers, alert all appropriate client team members and hotel staff and meet each vehicle as it arrives at the hotel.

VIP Facilitators (Optional) – Select members of the Florida Coast to Coast meet/greet team will be designated for VIP duty. It will be their responsibility to monitor arriving flights, personally greet VIPs upon arrival, secure their carry-on and checked luggage, request the scheduled sedan into the departures area, escort the VIP to the assigned vehicle, dispatch the vehicle to the hotel and advise the Hotel Receptive Staff with an estimated arrival time at the hotel. All VIP transfer activities will be monitored concurrently by the Florida Coast to Coast on-site supervisor and by the Florida Coast to Coast office.
